Receiving a transfer

For the manager at the store the goods are arriving at.

Before you touch the app

  1. Open the carton with the invoice in front of you. The invoice number is on the transfer in the app.
  2. Count what is physically there, article by article. Count, do not assume the paperwork is right.

In the app

  1. Sign in with your store code.
  2. Open Arriving at your store. Every transfer sent to you that has not been fully received is listed, with the invoice beside it.
  3. Press Readable to open the invoice and check it against the carton.
  4. Enter the quantity you actually counted on each line. It may be fewer than were sent. It can never be more.
  5. If anything is short or damaged, write what happened in the remarks box. That remark stays on the transfer permanently.
  6. Press Confirm receipt. The stock becomes yours in SAP and a material document number appears.
Receive what arrived, not what was sent. If ten were sent and eight arrived, enter eight. The remaining two stay open against the transfer so the shortage is visible and can be chased. Never enter ten to "close the paperwork" - that hides a real loss and the stock will not exist when it is counted.

What happens afterwards

Until you confirm, the stock is in transit and belongs to nobody's shelf. After you confirm it is unrestricted stock at your store.

Confirming is also what moves the fixed asset to your store. The invoice does not move it. When the whole asset was sent, the same asset number moves to your cost centre. When only part of it was sent, that part is split off into a new asset at your store. The message after you confirm names the asset.

Received in SAP instead of here? If the goods were received in SAP (MIGO), the asset does not move by itself. The line then shows under Received in SAP, asset not moved in this card. Where the Move asset button is shown, press it. Where it is not, the FA team has the line on its list. Receive fixed-asset transfers in this app whenever you can.
